Privacy Policy

OASIS SCHOOL ACCOUNTING LIMITED PRIVACY NOTICE

  • Who are Oasis School Accounting Ltd

Oasis School Accounting Ltd are a company providing Accounting Software to Independent Schools and supporting the users of that software.

We may hold data for one of three purposes

  1. Client list for access to our website and communicating with our client base
  2. Information on potential clients for marketing purposes
  3. Data we may process in the course of supporting our clients for testing of software problems
  • Data we hold for our own clients and potential clients

 What data do we hold?

For existing clients we hold names, business address, email and telephone numbers.

For potential clients we hold names, business address and, where provided by the potential client, telephone number and email address.

  • What is the legal basis for processing the data?

For our own clients by using Oasis they agree to provide information for billing purposes and for contacting them regarding their product.

For potential clients we only hold data which has been given to us by the client who has expressed an interest in Oasis.

  • Will the data be shared with any third parties?

We do not share information with third parties.

  • How will the information be used?

For our own clients the information is used in order to provide support on the products they have purchased from us.   Additionally the information is used to invoice them for the products they have purchased.

For potential clients the information is used periodically for marketing purposes to write to inform them of updates to our products and services.

  • How long will the data be stored for?

Our client data will be stored for as long as they remain our clients.

  • What rights does the data subject have?

The client may request to see any information we hold on them.

  • How can the data subject raise a complaint?

The data subject may raise a complaint by contacting the Data Controller.

 

  • Data we may process in the course of supporting our clients
  • What data do we hold

During the course of providing software support it may be necessary to look at a client’s own data in order to assist them in resolving a computer problem.  This data may include personal information such as names, addresses, dates of birth.

  • What is the legal basis for processing the data?

 Our support agreement with our client determines the level of access to their data, in the course of providing software support to them, and this is determined by their own Privacy Statements and agreements with their data subjects.   Our agreement with them will state if the data may be accessed remotely by Oasis employees and their Authorised Representatives, if it may be transferred to us for testing purposes or if all personal information will be masked prior to transferred to us.

  • Will the data be shared with any third parties?

 No data will be shared with third parties.

  • How will the information be used?

 The information will be used solely for investigating problems which the client has identified during the processing of their data.  When data is accessed remotely this will be to see a problem the client has identified, or to provide a solution.   If further investigation is required the client may transfer the data to Oasis for more detailed testing.

  • Where will the data be stored?

Data which is transferred to Oasis for in depth testing will be stored on an encrypted drive.  The data may only be accessed by Oasis employees and their Authorised Representatives.

  • How long will the data be stored for?

The data will be removed as soon as the problem has been identified and this has been communicated to the client.  No data will be retained once the problem has been solved.  This may typically take between one day and a few weeks.

  • What rights does the data subject have?

 The data subject’s rights are determined by the Privacy Statements and Contracts of our Clients who are responsible for the data.  We have a Service Level Agreement which clarifies this.

  • How can the data subject raise a complaint?

 The data subject may raise a complaint through our client with whom they have an agreement.
